1. Introduction

SkopeOS ("the App") is a premium CRM and project management tool built for solo freelancers. We take a "privacy-first" approach to your business data. This policy outlines how we collect, process, and protect your information in compliance with UK GDPR.

2. Information We Collect

We collect only the data necessary to provide and improve the SkopeOS service:

• Identity & Profile Data: Your full name, email address, company name, and business address.

• Financial & Goal Settings: Your annual revenue targets, pipeline goals, currency preferences, and working day capacity.

• System Metadata: Unique identifiers for your Google Drive "SkopeOS" root folder and your selected primary Google Calendar.

• User-Generated Content: Information you manually enter regarding your projects, clients, tasks, and leads.

3. Google Workspace Integration & Usage

SkopeOS interacts with your Google Workspace account via secure APIs. Our usage is limited to the following:

• Google Drive: We create and manage a dedicated "SkopeOS" root folder. We only access files within this specific directory to organize your project assets.

• Google Calendar: We sync project milestones and dates to your chosen primary calendar to help you manage your schedule.

• Google Contacts: We retrieve contact names and roles from your Google account to simplify project assignments.

4. Administrative Analytics & Marketing Data

To monitor the health of the platform and support our marketing efforts, the App Administrator has access to aggregated, high-level statistics:

• Platform Health: We monitor total user counts, the number of active free trials, and Monthly Recurring Revenue (MRR).

• Aggregated Managed Revenue: We calculate the cumulative total value of all projects managed across the entire SkopeOS platform.

• Marketing Transparency: We may use anonymized, aggregated figures (e.g., "SkopeOS users manage over £50k in projects") for promotional purposes.

• Anonymization: This marketing data is strictly aggregated. We do not share individual project values, client identities, or specific user financials with any third party.

5. Data Storage & Security

• Cloud Infrastructure: Your data is stored securely using Firebase (Google Cloud).

• Encryption: All data is encrypted in transit via SSL/TLS and at rest within the Firebase Firestore database.

• Access Control: Access to the administrative backend is restricted to authorized personnel via secure Google Authentication.

6. Your Rights & Data Control

Under UK GDPR, you have full control over your data:

• Access & Correction: You can view and update your profile and settings at any time within the App interface.

• The "Nuke" Option (Right to Erasure): You have the right to request the complete and permanent deletion of your account. Upon request, we will purge your user profile and all associated Projects, Clients, Tasks, and Leads from our database.

• Data Portability: You may request an export of your project and client data in a machine-readable format.

7. Data Retention

We retain your data only for as long as your account is active. If you choose to delete your account, all personal and business data is removed from our production systems.
